How to Prepare a Complete RFQ for European Food Suppliers
European food producers and distributors can respond more accurately when a buyer explains exactly what is needed. A request that says only 'send your best food prices' is difficult to quote and rarely leads to an actionable offer. A structured B2B food sourcing RFQ helps both sides compare products, packaging, quality, logistics and commercial terms.

1. Specify the product
State the exact product, grade, processing method and important technical parameters. Frozen French fries, table olives, sunflower oil and flour tortillas all require different specifications. For frozen products, include cut or size, coating and storage temperature. For oils, include type, intended use and packaging.
2. Define quantities and packaging
Provide the estimated order volume, target frequency, carton or retail-unit sizes, pallet requirements and whether private labeling is required. If your volume is indicative, make that clear rather than presenting it as a confirmed purchase.
3. Name the destination and commercial terms
Include the destination country and receiving port or delivery address, required shipment date, preferred Incoterm and any import documentation or certifications. Shipping cost can change materially according to product temperature, route, container utilization and destination.
4. Request comparable quotations
Ask suppliers to state product specifications, validity period, lead time, minimum order quantity, origin, packing format, payment terms and documents available. Compare the complete landed-cost assumptions instead of ranking suppliers on unit price alone.
5. Qualify before committing
Review factory or supplier credentials, traceability documentation and the buyer's local import requirements. Samples, labeling checks and shipment planning should take place before a final commercial commitment.
